This policy explains what personal information EOR Canada collects, why we collect it, and the rights you have. It applies to this website and to our services.

EOR Canada provides Employer of Record, payroll and benefits services in Canada. When we act as the employer of record for your staff, we process employee personal information as part of delivering that service. In this policy, "we" and "us" mean EOR Canada.
We collect information you give us directly and information generated when you use our site or services, including:
We use personal information to respond to enquiries, provide and administer our services, run compliant payroll and remit statutory deductions, administer benefits and workers' compensation coverage, meet legal and regulatory obligations in Canada, and improve our website. We process employee information on the documented instructions of the client for whom we act as employer of record, alongside our own legal duties as the legal employer.
Canadian privacy law is consent-based. We collect, use and disclose personal information with your knowledge and consent, except where the law permits or requires otherwise. We identify the purposes for collection at or before the time it is collected, and we limit collection to what is necessary for those purposes.
We share personal information only where needed to deliver the service: with the Canada Revenue Agency and, for Quebec employees, Revenu Québec; with provincial workers' compensation boards; with benefits insurers and administrators; and with payroll and banking providers. We require service providers to protect personal information to a comparable standard. We do not sell personal information.
Our handling of personal information is governed by the federal Personal Information Protection and Electronic Documents Act, known as PIPEDA, which sets the baseline standard for commercial activity across Canada and is overseen by the Office of the Privacy Commissioner of Canada.
Several provinces have their own legislation that applies in place of or alongside PIPEDA. Alberta and British Columbia each have a Personal Information Protection Act that has been declared substantially similar to the federal law. Quebec's Act respecting the protection of personal information in the private sector, as substantially amended by the law commonly referred to as Law 25, imposes additional requirements including more explicit and granular consent, mandatory reporting of confidentiality incidents to the Commission d'accès à l'information and to affected individuals, privacy impact assessments, assessment of transfers of personal information outside Quebec, and the designation of a person responsible for the protection of personal information whose contact details must be published. Where we handle information about Quebec-based employees or clients, we apply those requirements.
We keep personal information only as long as needed for the purposes described here or as required by Canadian law. Payroll and employment records are retained for the periods set by the Canada Revenue Agency and applicable provincial legislation. Enquiry information that does not lead to an engagement is held for a limited period and then deleted.
We use appropriate technical and organisational safeguards to protect personal information against unauthorised access, loss or disclosure, with safeguards proportionate to the sensitivity of the information. Payroll and employee data is treated as sensitive. Access is restricted to staff who need it to deliver the service.
Subject to applicable law, you may request access to the personal information we hold about you, ask us to correct it, withdraw consent, or raise a concern about how we have handled it. Quebec residents have additional rights, including in relation to automated decision-making and portability. To make a request, email us at the address below.
